Do you know if there is a way to have a feild default to the same value of another feild, but still be able to change it later if need be? this would occur while defining shape data. IE, creating a floor plan that displays all Data voice outlets in a building, while for the most part the telephones jacks may be the same numbering sequence as the RJ-45 ports, they arn't always. Basically a time saving tool when there is 300+ ports to label.

thank you for the info. I've been working on a few things with visio in order to clean up the diagram, but maintain information.
1. I've imported a "cisco" router.
2. data/define shape data
3. Defined Labels based on columns from an imported excel file.
All good, but I just want the shape data to display ONLY the data I defined, not every column in the Excel worksheet imported.
I can't seem to make this happen, is it even possible?

I feel I should emphasize, since it's taken me about half an hour to find out for myself and it's only hinted at towards the beginning of this article, that the Data Graphic features are NOT available in Visio 2007 Standard. They are only available in the Professional edition. Unlucky for me!

It takes a little time, Visio can be A powerful tool for IA/UX folks--it's taken me a little time to realize that I need to invest the time and effort into creating the assest and tools I need on Visio, otherwise I end up like others who shuffle around from tool to tool (not a very efficient practice). Would it be helpful if I wrote up a quick tutorial on how to build shapes for IA in Visio?

Thanks for posting this. I've been looking into automating and standardizing shapes before but haven't found a good way to do so in Visio.

I guess it all comes back to the main problem in Visio. Advanced features exist, but they are awkward to use, don't speed things up much and there is almost no help or information about them available.

That's the reason why I'm sticking with black and white and basic shapes like boxes, circles and triangles. They are quick to work with and prevent people from misinterpreting wire frames as designs.

Thanks Chris,
This information was very helpful. The only part that I had to figure out myself was how to get the Shape Sheet to show up. I had to go into the Tools > Options > Advanced tab and check "Run in developer mode" in order for the Shape Sheet option to show up when right clicking an oject.

Hi Chris et al,

Have copied a visio page containing created date in it.
When I tried to change the created date, since it was showing as per the previously created page, I could not do so, am getting the same date. Please help me to change it.

@Cid

Do you mean that shapes that actually have Shape Data aren't displaying fields when you Ctrl+Click?

If shapes don't have any data, then they won't display anything.

Another suspect--shapes buried in groups--doesn't foil the Save As Web. You can still Ctrl+Click these in the web page and see their data.

Hi Chris,
I hope you can guide me on this question re: Visio 2007 that I'm running into. When I go Save as a Web Page and "publish" a Visio doc and I checked off Details (shape data)and it sets the doc into html. Once in html why certain shapes display the details when I press Ctrl+click and some others don't? I have not done anything differently from one shape to another. Only that these shapes are updated by an ODBC data. Thanks in advance!
